Position Summary: 

The Facilities Supervisor assists the Facilities Director and Facilities Manager. Will manage all administrative duties for the facilities department to include filing documents, processing invoices, and maintaining lease information. Responsible for the management and scheduling of the receptionist and porter staff. Will be responsible for the daily operations of all physical space including inside and outside of the facility to ensure that the facility follows OSHA standards to maintain a clean safe environment for all staff that use the facility.Key  Responsibilities: 

  • Primary responsibilities include identifying needs/problems around the facility with a proactive approach
  • Maintain a file system of company lease information and update important lease data
  • Maintain emergency procedures log and fire drill compliance log
  • Ensure maintenance contracts are in place for Generators, heat and cooling systems, etc. 
  • Must maintain a list of vendors that will be called to fix major problems around the facility
  • Order janitorial and office supplies when necessary
  • Communicate delays/advances in projects, parking/grounds maintenance, janitorial when needed. 
  • Monitors and inspects buildings and premises for fire, security and safety issues
  • Respond to facility emergencies in the absence of the Facilities Director or Manager
  • Responsible for ensuring compliance with applicable laws, regulations and company policies across areas of organizational responsibility

Supervisory Responsibilities: 

Supervises a team of non-supervisory non – exempt employees which include Porters and Receptionists. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include participating in interview process and training employees; scheduling, planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Professional Experience/Qualifications: 

  • High school diploma or GED required.
  • At least 1 year experience in facilities administration and personnel management.
  • Basic knowledge of health and safety.

Work Environment:

Work is performed outside and inside an office environment with telephones, printers and personal computers in operation. The position may involve some physical work such as pushing, crawling or lifting.  The employee will be required to successfully interact with diverse group of employees, clients and management team to perform tasks and complete assigned work.
