Position Summary: 

Provides higher level administrative and clerical duties in the support of an Executive.
  • Prepares outgoing mail and correspondence, including e-mail and faxes; opens and routes incoming mail; locates and attaches appropriate file to correspondence; composes and types routine correspondence; prepares outgoing mail. 

  • Makes copies of correspondence or other printed materials.

  • Organizes and maintains file system, both paper and electronic; files correspondence and other records.

  • Operates computer terminal to input, manipulate, organize and retrieve data; operates other office machines, such as typewriter, copy machine and calculator.

  • Compile, prepare and maintain daily, monthly and quarterly statistical reports and automated presentations; create and maintain database and spreadsheet files.

  • Greets scheduled visitors and conducts them to appropriate area or person; screens incoming telephone calls; answers routine inquires; refers callers to appropriate department, person or voice mail. 

  • Orders and maintains supplies; arranges for equipment and facilities maintenance.

  • Coordinates and arranges meetings; prepares agendas; reserves and prepares facilities; and records and transcribes minutes of meetings.

  • Cover administrative entry desk; provides backup coverage for front desk and operations administrative assistant as required.

  • Maintains accountability of building access cards and issues temporary and vendor building access cards.

  • Responsible for ensuring compliance with applicable laws, regulations and company policies across areas of organizational responsibility.

Professional Experience/Qualifications

  • Bachelor’s degree preferred or the equivalent amount of related experience required

  • Must be proficient in use of Internet, internal electronic mail systems, Windows, Word, Excel and Power Point and Access

  • Must be able to meet deadlines and work in a diverse environment

  • Strong interpersonal skills and ability to speak effectively with customers and employees

Work Environment:
The noise level in the work environment is usually moderate as the employee works in an office environment, in an individual work station, using telephone and computer.  Employee may be required to work evenings and weekends.
