Position Summary: 

Perform receptionist duties and administrative support to Executive team and Executive Admin staff members. Responsible for the management and scheduling of the front desk staff, including temp employees.Key Responsibilities (other duties may be assigned):
  • Manage front desk staff, including temporary employees, including, but not limited to scheduling, training and enforcing the PRA & Front Desk Manual policies and procedures for all NHO staff
  • Manage Front Desk Documents and End of Month document audits
  • Manage and execute Front Desk Manual updates
  • Supervise NHO Front Desk PRA and Temporary operations and training.
  • Conduct annual performance reviews regarding direct reports.
  • Create and manage the front desk schedules, ensuring that all desks are covered during breaks and vacations.
  • Approve time off requests and time cards.
  • Conduct monthly status meetings with all direct reports.
  • End of Month Lunch Ticket Distribution
  • Maintain supply inventories & manage supply orders for all NHO Front Desks
  • Answer & reroute incoming calls & voice mails to their appropriate destination
  • Keep, manage & sign-out security access badges according to Badge Policy, as well as coordinate temporary executive suite access in conjunction with the Visitor Intake policy
  • Issue temporary parking permits as needed
  • Accept, reroute and distribute deliveries to receptive executive admin according to Overnight Policy
  • Serve as point of contact to Vendors and Processors
  • Floater: Follow schedule to relieve other receptionists for breaks & lunches
  • Floater: Reroute Overnight Deliveries to appropriate building destination
  • Light support to executives and executive admins as needed

Supervisory Responsibilities:

Manages a staff of 8-10 non-exempt PRA and Temp employees
Professional Experience/Qualifications:

  • Bachelor’s degree preferred or the equivalent amount of related experience required
  • Three to five years of related administrative experience working with executive level management
  • Must be proficient in Windows, Outlook, Word, and Excel; familiar with Access and Power Point

Work Environment:
The noise level in the work environment is usually moderate as the employee works in an office environment, in an individual work station, using telephone and computer.  Employee may be required to work evenings and weekends.
