Position Summary: 



Corporate Legal Secretary providing administrative support to and functioning under the direction and supervision of Chief Corporate Counsel and three or more additional attorneys in the Corporate Group of the Office of the General Counsel, with a specific concentration on corporate and commercial contracts, business acquisitions, business development, finance, real estate transactions, insurance, the maintenance of corporate and contractual records, document management, and related transactional matters.
  • Drafting and editing contracts, leases, instruments, and other documents based on edits of and input from corporate attorneys, using Microsoft Word. 
  • Maintaining document control using successive version numbers and other control procedures.
  • Maintaining electronic and paper file records of the Corporate Group.
  • Scanning documents for delivery purposes and to reduce paper document retention.
  • Printing and copying documents.
  • Drafting correspondence based on dictation or verbal instruction.
  • Coordinating fax transmissions, mailings, and courier deliveries for the Corporate Group.
  • Serving as the primary point of contact, document input coordinator, and technical expert for electronic corporate record management system (training to be provided).
  • Assisting with insurance-related projects.
  • Undertaking Internet research including corporate entity confirmations and other matters.
  • Coordinating lien, litigation, and bankruptcy searches using Pacer software internally and approved vendors.
  • Potential assistance with litigation-related projects as needed. 
  • Calendar management for Corporate Group projects and recurring tasks.
  • Prepare presentations using Microsoft Word and/or Microsoft PowerPoint.
  • Prepare and update Microsoft Outlook Contacts.
  • Coordinate execution of and notarize agreements, instruments, and documents.
  • Other duties and responsibilities may be assigned from time to time
  • Responsible for ensuring compliance with applicable laws, regulations and company policies across areas of organizational responsibility


Professional Experience/Qualifications:

  • Bachelor’s Degree preferred or the equivalent amount of related experience required.
  • Two-years of legal secretarial and/or paralegal experience in a sophisticated corporate law firm practice and/or in-house counsel practice is preferred. 
  • Such legal experience should include work related to contracts, corporate entities, and document management.
